Full Management Service: Includes all of the following management components.
Financial:
- Maintain separate multiple trust accounts for each client
- Maintain separate multiple bank accounts for each client and prepare monthly bank reconciliations
- Meet and surpass all financial requirements of the Strata Property Act
- Receive, record, and deposit all income including strata fees and levies
- Pay all invoices
- Maintain specialized accounts on request
- Provide financial statements including:
- Balance sheet
- Operating statement
- Accounts receivable
- Accounts payable
- General Ledger
- Special Accounts
- Assist in budgeting
- Assist in long term capital expenditure budgeting
- Maintain independent contingency reserve fund account
- Maintain backed up electronic and hard copy records
- Regularly provide clients with listed archived records
- Maintain accounts payable, paid invoices, receivable records and correspondence
- Arrange independent reviews and audits as requested
Administrative Services
- Maintain all records as required by the Strata Property Act
- Maintain a registry of owners, tenants, residents, occupants, emergency contacts, suppliers, contractors, and council
- Prepare and circulate minutes and notices
- Prepare and provide information as requested by owners, realtors, lawyers, notaries in accordance with all legal requirements (such as Form F & B)
- Prepare and circulate correspondence and memorandums
- Maintain unit rental lists and registered Form K's
- Act as the strata corporation's registered office and maintain files containing:
- minutes
- registered bylaws
- correspondence
- Assist owners, councils, trades, requestors and strata agents
Strata Agent Management
Each strata corporation is assigned a strata agent/manager who provides the following:
- Assists council in carrying out their duties in accordance with the Strata Property Act
- Attend council and general meetings (preparing agendas) (completing directives)
- Inspect common property as required
- Hire and supervise strata corporation employees
- Deal with independent qualified trades/contractors on behalf of council
- Coordinate building and ground maintenance
- Maintain contracts
- Arrange purchase of supplies, equipment and the like, as required
- Receive and respond to correspondence
- Assist council with enforcement of bylaws and rules
- Arrange for review and amendments to bylaws and rules, as required
- Arrange insurance and appraisals, as required
- Maintain communication with staff, council, owners, tenants and many others on behalf of council
- Maintain 24 hour 7 day a week emergency answering and response service
